Pupil and Parent Privacy Policy

Summit Education Trust is committed to protecting the personal information of our pupils and their families. This notice explains how we collect, use and store personal data in line with UK data protection law.


This notice applies to all schools within Summit Education Trust.

 

Who We Are
Summit Education Trust is the data controller for the personal information we hold about pupils and their parents or carers. This means we are responsible for how that information is used and protected.

 

The Information We Collect
We collect and hold personal information relating to pupils and, where appropriate, their parents or carers. This may include:

  • personal details such as names, addresses and contact information

  • date of birth and identification information

  • attendance records

  • assessment results and academic progress

  • behaviour and safeguarding information

  • special educational needs and medical information

  • photographs, video and audio recordings for school purposes

 

We may also hold information about parents or carers, including contact details and information required to support a pupil’s education.

 

Why We Use This Information
We use personal data to:

  • support pupil learning and progress

  • monitor and report on attainment and attendance

  • provide pastoral care and safeguarding

  • meet the needs of all pupils, including those with additional needs

  • communicate effectively with parents and carers

  • fulfil our legal and regulatory responsibilities

 

Lawful Basis for Processing
We process personal data in accordance with UK data protection law. This includes:

  • legal obligations, where we are required to collect and share data

  • public task, as part of our role in providing education

  • legitimate interests, where it is necessary for the effective running of our

  • schools

  • consent, where required, for example for certain uses of images

 

How We Share Information
We may share personal information where necessary and appropriate. This may include:

  • the Department for Education (DfE)

  • local authorities

  • other schools or educational settings

  • examination boards

  • safeguarding partners and relevant professionals

  • school systems and service providers that support our operations

 

We only share information where there is a lawful basis to do so and ensure appropriate safeguards are in place.

 

Data Retention
We keep personal information only for as long as necessary. Retention periods are based on legal requirements and guidance for schools.

When information is no longer required, it is securely deleted or destroyed.

 

Your Rights
Under data protection law, parents and pupils have the right to:

  • request access to personal information

  • request correction of inaccurate information

  • request deletion of data where appropriate

  • restrict or object to how data is processed

  • withdraw consent where applicable

 

Requests can be made by contacting the Trust.
You also have the right to raise concerns with the Information Commissioner's Office (ICO).

 

Photographs and Media

We may use photographs or video recordings of pupils for educational, promotional or celebratory purposes. Where required, we will seek consent from parents or carers before using images.

 

Keeping Information Safe
We take appropriate technical and organisational measures to protect personal data from unauthorised access, loss or misuse.
